Role : Business Analyst

Project Overview

The client, a Leading Global Energy Solution Provider, previously relied on Excel VBA and Macros to manage grid modernization activities. However, the approach was inefficient due to:

  • Lack of reusability – New projects required recreating logic.

  • Complex maintenance – Macros were difficult to debug and enhance.

  • Disorganized data – The use of different Excel files for Different Phases created challenges in project tracking, leading to inefficiencies in data management

To overcome these limitations, our team designed a web-based tool that would streamline gap analysis, project design, and capability enhancements for grid operators.

Situation:

The client relied on Excel VBA Macros for grid modernisation analysis, which was inefficient, non-reusable, and complex to maintain. Managing multiple projects with Excel resulted in disorganised workflows.

Task:

The objective was to analyze the current process, extract core business logic, and design a digital tool that would be scalable, reusable, and easy to maintain. Can be analysed in different Past Projects Data that can be used to built more enhanced solutions in the future. 

Challenges Faced : 

  • Stakeholder Availability: Key decision-makers were often unavailable due to core business responsibilities. I proactively sent concise and specific questions so that we can quickly finish the Clarification Call. Sometimes send different features of the video to validate. 

  • Technical Feasibility: Balancing the desired features with what was achievable in the R&D environment. Worked closely with developers to identify low-effort, high-impact solutions.

Action:

  • Conducted stakeholder interviews to understand business needs without focusing on Excel Macros.

  • Used process decomposition to extract key grid modernisation components and workflows.

  • Created AS-IS and TO-BE process models, functional requirements, and user stories.

  • Collaborated with developers and data engineers to implement the new tool.

  • Led UAT and training sessions to ensure smooth adoption.

 

My Contribution :

  • Comprehensive Requirement Understanding:  I have been praised by Project Managers and team members for my ability to grasp business needs quickly and translate them into clear, actionable documentation that aligns with project goals.

  • Proactive Requirement Clarification: During development phases, I frequently served as the go-to person for the technical team to clarify business requirements, resolve confusion and ensure implementation stayed aligned with business requirements

  • Dependency Identification & Business Context Mapping: I actively identify dependencies between user stories and features, especially in systems where modules are tightly interrelated. By providing clear business context and upstream/downstream impacts, I help teams avoid delays and technical debt.

Result:

  • Eliminated manual Excel dependency, leading to a 60% reduction in process complexity.

  • Improved data organization, making project tracking and analysis easier.

  • Enabled scalability and reusability for future projects.

  • Enhanced decision-making with centralized data and real-time analytics.
